How to Set Up an Autoresponder in cPanel

You can set up an autoresponder in cPanel in about five minutes, and it’s one of the more overlooked features sitting in every hosting account — including the professional email account covered in our email setup post. Whether you’re heading out on vacation, stepping away from the business briefly, or just want every contact form submission to get an instant acknowledgment, here’s exactly how to do it.

TL;DR

You can set up an autoresponder in cPanel in under five minutes through Email → Autoresponders — choose the address, set an interval, write a helpful message, and optionally set start/stop dates for a known period like a vacation. It works just as well for acknowledging contact form submissions as it does for out-of-office replies.

What an Autoresponder Actually Does

An autoresponder automatically sends a reply to anyone who emails a specific address on your domain, without you having to do anything manually. The reply goes out immediately, once per sender within a time window you control, so the same person emailing you five times in a day doesn’t get five identical auto-replies cluttering their inbox.

How to Set Up an Autoresponder in cPanel

  1. Log into cPanel
  2. Under the Email section, click Autoresponders
  3. Click Add Autoresponder
  4. Select the email address this autoresponder applies to from the dropdown, or type in a specific one
  5. Set the Interval — this controls how many hours must pass before the same sender receives another auto-reply. 24 hours is a reasonable default for most vacation-style responses.
  6. Enter a Subject line — something like “Out of Office” or “Thanks for reaching out”
  7. Choose whether the message is HTML or plain text
  8. Write your Body text — this is what senders will receive
  9. Optionally set a Start and Stop date/time if this is for a specific known period, like a vacation with fixed dates
  10. Click Create

Writing an Autoresponder Message That Actually Helps

A good autoresponder does more than say you’re away. Include:

Avoid including sensitive details like specific travel dates or that your home/office will be empty — an autoresponder is publicly visible to anyone who emails you, including spam bots, so treat the content as something a stranger could read.

Setting Up an Autoresponder for a Contact Form Instead of Vacation

The same feature works well for automatically acknowledging contact form submissions if your form sends to a dedicated address like hello@yourdomain.com. Set the autoresponder on that address with a message like “Thanks for reaching out — we typically respond within one business day,” and every inquiry gets an instant, reassuring reply while a human catches up separately. This pairs naturally with testing your contact form regularly, since an autoresponder confirms the form is actually delivering mail correctly every time it fires.

Turning It Off

Go back to Email → Autoresponders, find the one you created, and click Delete. If you set start and stop dates when creating it, it will also turn itself off automatically once the stop date passes — no manual step needed.

Frequently Asked Questions

Will everyone who emails me get the autoresponder every time?

No — the interval setting prevents repeat auto-replies to the same sender within that time window. Someone who emails you three times in one day with a 24-hour interval set will only receive the auto-reply once.

Can I set up an autoresponder in cPanel for multiple email addresses at once?

Each autoresponder applies to one specific address. If you need the same message active on several addresses, you’ll need to create a separate autoresponder for each one.

Does an autoresponder interfere with normal email delivery?

No — the original email still arrives in your inbox normally. The autoresponder simply sends an additional automatic reply back to the sender; it doesn’t filter, redirect, or affect the incoming message in any way.

If you run into any trouble, open a support ticket and we’ll help you get it configured.
